Refund Policy

Each product/site we build has its own refund terms published on that product’s website. The policy below is our general baseline that applies when a project-specific policy is not available.

General Terms

Project-specific overrides: Where a product/site has its own published refund policy, that policy takes precedence for that product.
Milestone billing: Most custom work is billed per milestone. Refunds, where applicable, are evaluated per milestone, not for the entire project.
Acceptance criteria: Delivery is considered complete when the agreed acceptance criteria for a milestone are met or when you deploy/launch the delivered work.
Communication & access: If we cannot proceed due to missing inputs, approvals, or access for 14 days, the milestone may be marked delivered for the scope already completed.

Eligibility & Windows

Fixed-price milestones: You may request a partial refund within 14 days of payment and before you accept the milestone. If we have delivered part of the scope, we’ll refund the undelivered portion only.
Time & materials / retainers: Unused prepaid hours are refundable on request (minus 10% processing) within 14 days of purchase. Logged time and completed work are not refundable.
Change-of-mind: After design sign-off or development start, completed phases/hours are not refundable.
Non-delivery: If we miss a milestone without an approved change request, you may request a proportional refund for the undelivered scope.

Non-Refundable Items

Completed discovery/strategy workshops and delivered design sprints.
Third-party costs: domains, SSL, cloud credits, app store fees, licenses, payment gateway charges.
Rush/expedite fees and bespoke integrations already delivered.
Infrastructure provisioning and one-time setup once completed (CI/CD, hosting, monitoring, etc.).

Quality Guarantee & Warranty

Bug-fix window: We fix defects that violate the accepted scope for 30 days after delivery at no extra charge.
Out-of-scope changes: New features, redesigns, or environment-related issues (e.g., hosting/account limits) are billable and not grounds for refund.
Security & compliance: We follow best practices, but compliance certifications and audits are out of scope unless contracted.

How to Request a Refund

Email info@nextwave-technology.org with your invoice number, milestone, and a short description.
We review within 3–5 business days and may request additional context or access.
Approved refunds are issued to the original payment method within 5–10 business days (excluding third-party processing times).

Chargebacks: Initiating a chargeback is treated as cancellation; work may be paused and access suspended while we provide documentation to the processor.
